Bare Boat Chartering Guide
AYG welcomes you aboard to sail the Aegean seas with one of our yachts.

Qualifications required for bareboat chartering in Greece.

Our yachts are available to qualified crews who have the relevant experience and competence in the handling and operation of the model and size of the yacht chartered.

According to Greek Sailing laws, it is required that you have 2 sailing licenses on board in order to take over a bare boat. Two crew members should have sailing certificates. Any official certified sailing certificate that states your capability is acceptable. A statement of sailing experience would be required. The charterer is required to demonstrate that they have sufficient knowledge and practical experience of seamanship, navigation and Rules of Road Knowledge.

The owner / representative of the yacht shall reserve the right to verify competence at the time of check in. If you do not have the relevant qualifications and experience to safely operate the chartered yacht, we reserve the right at the charter’s expense, to provide for you the services of a professional skipper to ensure your safety and well being.

Standard Charter schedule

There is a standard procedure that is followed when taking over a boat.
Usually the charters start and end on Saturdays for multiples of seven days.

The check in takes place at around 17:00hrs on the first day of your charter. In case we can deliver the yacht earlier, without compromising our standards, we will do so, but this cannot be guaranteed.

The check out is 09:00hrs on the morning of the last day of your charter period. Usually our clients return in the evening (normally Friday) sleep on board and depart around 09:00hrs on Saturday morning, giving us time to get the yacht prepared and in perfect working condition for the next charter.

You are responsible for returning the yacht at the pre agreed time and place. If due to unforeseen circumstances, this is not possible, for example, bad weather conditions, you are required to inform us as soon as possible, in order to give us sufficient time to find an alternate boat for the next group.

Check in procedure

Expect the check in procedure to take at least 1-2 hours. This is the time when the owner / representative of the yacht will hand the boat over to you. It will include the following:

  • Review of the yacht handling procedures.
  • The location of safety and navigational equipment, and other yacht essentials.
  • Ask for the yacht manuals and review them if necessary.
  • A careful inspection of the yacht for any damages, including the decks, hull, sails and equipment prior to signing the form for taking over the yacht.
  • Carefully take the time to inspect the yacht for your own protection, as any damages discovered upon your return will be charged to you.
  • Protocol for checking in periodically, and your itinerary will be discussed.

Check list for sailing and going ashore

Carefully plan your sailing itinerary and review your charts before departure. Mark the areas that you intend to sail. All navigational equipment, charts, etc. are provided for your use. Make use of the Greek Water Manual, it can prove invaluable, for information about the islands and the Greek seas.

  • Monitor the weather forecasts before departure (VHF on channel 16, Radio Hellas), and by using the Navtex.
  • Perform routine checks of the bilges, water and fuel tanks and battery charge. Always let the engine warm up while charging before departure.
  • Check engine controls for properly engaging forward and reverse and for any ropes around the prop.
  • Demonstration to your crew is essential in the proper procedure and use of fire fighting and life saving equipment. The location of the first aid kit and how to operate the VHF unit and frequencies. Competence of proper protocol for distress/normal communication.
  • During rough weather, harnesses and life jackets must be worn at all times while on deck, this is routine procedure and must be followed.
  • Never allow children on deck without life jackets at any time when in motion and never unsupervised at all.
  • When arriving at port make sure the yacht is safely secured or safe at anchor. Check to make sure navigational lights are turned off in case of night arrival. Check and clean the bilge pump.
  • Before going ashore, carefully place fenders to protect the yacht from swells of passing boats and other incoming yachts. The gangway should be placed on the dock while you are away and stored on the yacht while asleep. Make sure the main gas switch has been turned off; lock the yacht, leaving the portholes open for ventilation.

Following proper safety precautions will ensure your safety while sailing. It is your responsibility to follow the basic rules of sailing.

It is recommended that you carry all personal identification papers and currency with you while you are ashore.

When refueling at port, avoid spills into the sea at all times. Garbage disposal is available at all ports. At no time should non-biogradable materials be thrown into the sea.

Helpful reminders

Prior to sailing each day perform routine checks to ensure adequate functioning of the yacht.

  • Check the coolant, fuel and water levels. Check the fuel/water separator for water in the gas, drain if needed from glass.
  • Visually check the engine area for any signs of cool fuel or engine oil leaks, broken or lose belts. Keep the engine oil level above 2nd mark on the dipstick, never below.
  • Avoid letting the fuel tank get too low, as this will result in the accumulation of water condensation at the bottom of the tank. Always follow the 2/3-fuel rule before setting off for your next destination.
  • When starting the engine, look for water emerging at the exhaust outlet. If water is not emerging, stop the engine immediately (you’ll have burnout otherwise)and locate the cause, use the engine manual for troubleshooting or call the numbers given to you at departure.
  • Charge your batteries daily and as needed at approx. 1000-1200rpm. (Important – with using the electric refrigerator). Pay special attention to ensure that the electric refrigerator does not run on full power while the engine is not running, as this will drain your battery completely.

During your sailing vacation
Maintain a log of your sailing vacation. Plan your sailing vacation arranging your destinations carefully allowing you ample time for your return journey. Refer to the relevant material for nautical miles/hours between destinations, given by the owner.

Observe the conditions of the charter agreement. You will be responsible for handing over the yacht at the designated port and date as agreed. If at any time you believe that you will have difficulty reaching the designated port, due to adverse weather condition etc…notify the owner/our agent immediately for advisement. There may be penalties for any delays or late delivery of the yacht.

In Case Of Accidents
You must inform the Owner/representative immediately within the next 24hours. You must inform the nearest Port Police Office, or if you are at sea, the Port Police at your next port of entry. They will log the incident and give you a copy of the entry. Make sure you receive these copies. You will be instructed to prepare a statement for the insurers called the "Masters Report". This statement should be endorsed with the stamp of the Port Police Office. It must include names of all passengers and crew list with addresses and phone numbers.

If your accident involves third parties do no leave the site. Call the Port Authorities nearest to you and ask for procedure and directions before moving on.

In Case of Emergency
If it is at all possible do not abandon your vessel, as an abandoned vessel may cause accidents to other navigators. It is clearly understood that abandoning the vessel may be prudent at times when the lives of the crew are in real or imminent danger. Always transmit "MAYDAY" from VHF channel 16, state your position and nature of your emergency. Do not switch to another channel before receiving a response. International distress calls need to be three times in succession. Transmission of "PAN MEDICO" is the appropriate distress signal for serious sickness or injury and the need for medical transport.

Always attempt to contact the owner / representative for any emergency. Do not accept salvage assistance from any vessel other than the Port Authorities without our prior knowledge or consent.

 

Booking Procedure

Step 1 - Yacht Request Form

Please complete our Yacht request form in full, giving us your full name and your preferred form of contact. Your first, second and third choice preferred type / size of the yacht, and the dates that you are interested in, the number of passengers, and any special requests that you might have at this stage.

Otherwise, you can email us with the necessary details if that suites you more.

Step 2 - Option

Immediately upon the receipt of your charter request form we will ascertain the availability of the yachts that you have requested and get back to you immediately. Once you have been informed about available yachts and prices and are interested, please inform us as soon as possible so that we may reserve your yacht under “option” for a maximum period of 7 days. This means that the boat is blocked for you for 1 week.

Step 3 – Booking Confirmation

Before the "option" period expires you must send us a bank draft for 50% of the total amount and fax or e-mail us a copy of the receipt. On receiving your booking confirmation we will send you 5 - signed copies of the Charter Agreement. You will need to sign these and send 4 back to us. Your copy, together with your down payment receipt becomes your booking confirmation. Your booking is now complete.

If the "option" period has already expired upon receipt of your deposit, we will make every effort to find the same or similar yacht that meets with your approval.

Once you have booked your yacht charter for your sailing vacation, you will have the time to conclude your vacation details. Please contact us if you require help with this. We can provide many services in order to make you sailing vacation in Greece, as hassle free and enjoyable as possible.

Transfers

We are happy to cover and provide one transport from the Athens International El. Venizelos Airpot (LINK) to the Marina of Kalamaki per yacht/per group.

During this period we will require from you the following information

  • Crew list (full names, dates of birth, contact info)
  • Arrival information (day, time, flight, airport, etc)
  • Copies of sailing Licenses or Certificates
  • Orders for any extras needed (to be paid for at check in)

Final payment

The 50% balance has to be paid 60 days prior to your departure.

Refundable deposit guarantee

You are required to leave a security deposit guarantee prior to embarkation in case of any damage to the yacht or loss of equipment. This will not be above 1500 euro, depending on the type of chartered boat. The security deposit is returned to you once the yacht has been returned at the pre agreed time and place, and checked to be in the same condition, that it was handed over to you. Any minor damages shall be deducted from this deposit.

Cancellation

The cancellation fees are based on the period of time between the date of cancellation and the departure date.

90 days or more 300 euros is retained to cover administration and chartering procedural fees
89 –60 days prior to embarkation 30% of the total charter fees are retained
59 – 30 days prior to embarkation 50% of the total charter fees are retained
29 – 0 days prior to embarkation 100% of the total charter fees are retained

Charter Terms

These are clearly outlined in the Charter Agreement contract, which will be sent to you on your booking confirmation. A copy can be revised from our website.

Currency

The currency unit is the Euro. Euros may be obtained at any Greek bank.

Travel Insurance

We strongly advise you to take out travel insurance, including cancellation insurance to protect your booking deposit.
